The main factors behind an office cleaning quote

  • Floor area and layout: carpet, hard floors, furniture density, stairs and separate rooms affect how the space can be cleaned.
  • Kitchens and washrooms: count the facilities and describe their use. A busy shared kitchen can require more attention than a lightly used meeting room.
  • Frequency: agree both visits per week and which tasks happen at each visit. More visits increase the amount of scheduled service, while the work needed per visit may change.
  • Task scope: routine vacuuming, bins and accessible surfaces differ from appliance interiors, detailed edges and internal glass.
  • Starting condition: accumulated dirt or a long gap in service may call for a separately priced initial clean.
  • Access: parking, lift bookings, security checks and a narrow cleaning window can affect the time required.

For a CBD office, explain how cleaners enter the building and reach your floor. For any Auckland site, share parking restrictions and the time by which the premises must be locked. These details are more useful than the suburb alone.

Separate regular cleaning from periodic work

A regular cleaning quote should identify the recurring tasks. Specialist carpet cleaning, floor treatments and a one-off deep clean should have their own scope and price unless the proposal explicitly includes them.

An example of a useful quote brief

A hypothetical enquiry might say: “We have a 250 m² office in Newmarket with 15 staff, one kitchen, two washrooms and mostly carpet. We want cleaning three evenings a week after 6 pm. Desks must be left untouched when paperwork is present. We can provide one parking space and building access.”

Compare the ongoing cost as well as an introductory offer

When a proposal includes a discount, ask for the discounted price, standard price, qualifying term and included tasks in writing. Compare the total over the same contract period, not just the first invoice.
