Give providers the same starting information
Prepare a short brief with your suburb, floor area, room types, occupancy and preferred frequency. Add photos or a floor plan if available. Explain whether you need a regular service, a one-off clean or both.
Ask providers to quote against the same task list. If one prices a basic weekly clean and another includes periodic glass or detailed kitchen work, the difference is not simply about hourly rates.
Check what each visit covers
Look for the areas, surfaces and tasks included in the regular service. “Office cleaning” is too broad on its own. A useful proposal distinguishes reception, work areas, kitchens, bathrooms and floor care, with a frequency for each task.
Identify exclusions such as appliance interiors, inaccessible surfaces, furniture movement, exterior glass and specialist cleaning. If a task matters, ask for it to be written into the scope rather than relying on a verbal understanding.
Separate consumables and periodic work
Clarify whether bin liners, bathroom supplies and other consumables are supplied, charged separately or provided by your business. Ask how one-off carpet or floor work is priced and whether any periodic tasks are already part of the total.
Check whether the quoted amount includes GST. Compare the same service period: a price per visit, a weekly total and a monthly invoice may otherwise look more different than they really are.
Discuss access and communication
Parking, lifts, security and restricted cleaning windows can affect the work. Tell the provider about those conditions before accepting the quote. Agree a contact for access issues, changes in the schedule and feedback.
Ask what happens if a visit is missed or a task does not meet the agreed scope. Understand the notice period, how price changes are handled and any minimum term. Those details help you decide whether the arrangement fits your business.
Use evidence when assessing a provider
Ask for relevant references, current insurance information and any training or site-specific procedures that matter to your premises. Treat certifications as claims to check, not as a substitute for a clear scope. Your business may also have requirements a provider needs to review before work can begin.
